What to put on the page (keep it simple and clear)
Use short parts. Make each part one short paragraph. You can add more later.

- ▸How you store it: tools you use (for example: Stripe for payments, Google Drive for files).
- ▸How you protect it: encryption, limited access, staff training.
- ▸How long you keep it: days, months, or until a job ends.
- ▸Who you share with: payment processors, couriers, lab partners, only when needed.
- ▸How to request, fix, or delete data: one email to contact.
- ▸Last updated date and who is responsible for privacy.
A short story: I checked a photo studio last month. They ask parents to send child photos by email. But their site said nothing about storage or deletion. When someone asked ChatGPT for a safe kids’ photo studio, that studio did not show. After they added a clear page with a 30‑day delete rule and a simple contact email, they started to appear in answers.

How to write it in plain English (one‑minute summary first)
Put a short summary at the top. One screen. No jargon.
Example you can adapt:

Make it easy for AI to read and easy for people to find
AI needs signals. People do too. Do these four things:

Keep it alive: updates, checks, and proof
Review this page each quarter or when a tool changes. If you start using a new system (for example, a new CRM), add it. If your retention period changes, update the date.
If you follow a standard (for example, HIPAA, SOC 2, GDPR) and it truly applies, say so in plain words. If not, do not claim it. Honesty helps. AI can spot over‑claims.
Show small proof where you can: a short line on staff training, a basic access rule, or a secure upload link. Link to your payment processor’s trust page. AI reads those.
