I see this problem every day
I want to show you something important. Many good businesses do not show up in AI answers because their basic facts do not match. I checked a plumber in Chicago last month. Google showed one phone number. Facebook showed another. Yelp had old hours. When someone asked ChatGPT for a reliable plumber nearby, the plumber did not appear. AI was not sure the profiles were the same company. That is the problem I help you fix.
Here is the truth: AI tools read your profiles across the web. If the facts match, they feel safe to name you. If they do not match, you drop out.
Action today: write down your official name, address, phone, website, and hours on one note. Keep it open. You will use it in the next steps.
Choose your official details and lock them
Pick one exact version for each item:
- ▸Name: the full business name you want shown. Use the same spelling every time.
- ▸Address: include suite or unit in the same way every time. Example: "Suite 200" or "Ste 200" — pick one.
- ▸Phone: choose one main phone for the public. Use one format. Example: +1 312‑555‑0199.
- ▸Website: use one main URL. If you have tracking links, do not use them on profiles. Use your main URL.
- ▸Hours: set normal hours and your time zone. Add notes for "by appointment" if needed.
- ▸Short description: one clear sentence. Example: "Family dental clinic in Austin offering cleanings, crowns, and emergency care."
Put these in plain text so you can copy and paste. Consistency is your superpower here.
Action today: create one shared document named “Official Business Facts” and paste these items into it.
Fix your top profiles first
Start with the profiles AI checks most for local and service businesses:
- ▸Google Business Profile
- ▸Apple Maps
- ▸Bing Places
- ▸Yelp
- ▸Facebook Page
- ▸Instagram bio
- ▸LinkedIn Company Page
- ▸One or two key industry directories (for example, Healthgrades for doctors, Houzz for home pros)
On each profile, copy your official name, address, phone, website, hours, and the same first sentence of your description. Add the same profile photo and a few current photos. Choose the correct categories. Remove old numbers and old addresses. Link to the same home page URL.
Do not rush. Two or three profiles per day is fine. Trust me on this — it takes less time than you think, and it pays off.
Action today: open two profiles (Google and Facebook, for example) and make them match your official facts exactly.
Find and close duplicates or old listings
Old addresses and extra pages create doubt. AI sees them and thinks, “Is this the same place?” You need to clean those up.
Search for your brand name and each of your old phone numbers and addresses. Look on Google, Apple Maps, Yelp, and Bing. When you find a duplicate or an old listing, use the “Suggest an edit,” “Report a problem,” or “Close this place” options. Mark it as “Moved” or “Duplicate of” your current page.
Check your website too. If you changed your domain, set a redirect from the old domain to the current one. If you moved, update every page that shows your address. Put the current address in the footer and on your Contact page.
Action today: search “Your Business Name” + your old phone number. Close or merge any listing that is not current.
Keep it steady and check monthly
Once your facts match, keep them steady. Do not swap phone numbers in ads. Do not test a new brand spelling on only one profile. Small changes in one place make big confusion across many places.
Set a monthly reminder. Open your top profiles and confirm name, address, phone, website, and hours. Update holiday hours early. Add one new photo each month so the profiles look alive. Keep the first sentence of your description the same everywhere.
If you want to know how AI sees you, I built FoxRadar for that. In 60 seconds, you can see if ChatGPT, Gemini, or Grok know your brand and show your basics the same way. It helps you spot gaps fast.
Action today: add a 15‑minute “Profile check” to your calendar for the first Monday of each month. Then run a quick check on FoxRadar.
